PA to the Directors and HR Co-ordinator

Responsible to: Managing Director

Key Relationships: Senior Leadership Team; Directors.

Purpose of role: This is a new role where you will be responsible for the smooth running of basic HR functions within the business in particular with recruitment, induction and training.


You will also be responsible for management of GDPR policy and systems within the company and PA to the directors assisting with preparation of reports, organising and attending meetings to prepare minutes and action points

We are looking for someone with a proven track record in previous roles of where you have been proactive and introduced positive changes to processes and business development.

 

Someone who can be kindly assertive to get the job done and wants to be a part of shaping the future of the business as well as assisting the directors in their roles managing meetings, reports and minutes. You should have a positive attitude, kind and able to relate to people

 

Location: Cramlington

 

Main Responsibilities

  • Being the first point of contact for HR enquiries and ensuring company HR procedures and followed within the business, and improving these where appropriate

  • Support line managers in personnel management matters and meetings, organising and taking notes and summarising minutes and seeking advice where appropriate.

  • Facilitate company recruitment, including maintaining job adverts where appropriate, selection and interviewing of candidates

  • Support and facilitate training and development programmes

  • Continuous maintenance of the employee handbook

  • Ensure all new starters receive starter packs and issue contracts of employments, create employment files and relevant legal employment checks are done

  • Follow up on absence and ensure back to work interviews and supporting documentation are complete

  • Process, monitor and maintain all staffing changes including new starters, new roles and other amendments to salaries and employee data and compliance with policy and payroll requirements

 

PA Role:

  • Administrative support for the Board / Senior Leadership Team, including preparing weekly and monthly reports

  • Attending Management and Board meetings, preparing Agendas and taking and compiling minutes

  • GDPR audit and oversight, including conducting audits to ensure compliance and address potential issues proactively

  • Maintaining comprehensive records of all data processing activities conducted by the organisation, including the purposes of all processing activities

  • Policy, procedure and documentation version control

  • Arrange travel and accommodation plans for Senior Leadership Team / Board when required

 

Key Criteria:

  • You will have prior experience in a similar role

  • HR knowledge is ideal although not essential as we subscribe to an HR organisation for advice and guidance on difficult issues

  • Self-motivated and able to work effectively independently and as part of a team

  • Strong organisational skills, always looking for continuous improvement, with attention to detail and able to prioritise and work under pressure

  • Experience of managing GDPR requirements.

  • Strong IT skills in word , excel & powerpoint

  • Good communication and influencing skills both verbal and written and be comfortable working in a fast-paced organisation

  • Professional telephone Manner with Excellent customer care skills (with both external & internal customers)

  • Ability to maintain strict confidentiality.

  • Positive attitude

  • Reliable and dependable and looking for a long term position in a medium sized family business (50 employees)
